We are looking for a
**Team/Office Assistant**
to support with a vast variety of tasks including agenda and contact management, organising the office layout and ordering supplies, maintaining the office in excellent condition as well as monitoring suppliers. Reporting to the
**Country Representative Albania**
and to the
**HR Director**
,this function supports on all aspects of Facilities operations and procedures to ensure the smooth running of TAP’s country offices in Albania also ensuring that company’s policies & procedures are adhered to. This role also covers the administrative duties when required. The role is based in Tirana, Albania.


**Your Role**

- Support the effective management of TAP’s Country offices by keeping the filing systems up to date, managing consumables & supplies and arranging necessary repairs as well as monitoring office suppliers and clerical functions
- Support with organizing and monitoring facilities operations & procedures; raising requisitions and placing orders; tracking of invoicing, receiving, and expediting correspondence; onboarding new employees; organising activities and events
- Occasional driving to different TAP locations within the country, following planned request, will be required
- Reception manning, handling incoming calls (including Grievance related), ensuring visitors are welcomed, informed of TAP’s HSSE policies and well taken care of
- Implementing procedures for visitors, arranging travels, hotel bookings, guests’ accommodation
- Organising internal and/or external meetings for the Country Representative, taking minutes if needed
- Support the Country Representative with all administrative support required

**Your profile**

- University degree is a plus
- Demonstrated experience as an Office Assistant with a strong focus on reception manning in a multinational company, as well as managing Office Facilities
- Excellent Project Management skills. Project Administration skills would be a plus
- Excellent organisational, communication, prioritising, and multitasking skills
- Excellent customer service skills
- Strong MS Office skills. Experience in SAP would be a plus, including SAP FI/CO [PR/PO creation, invoice approval]
- Written and spoken Albanian at professional level
- Written and spoken English at professional level
- Valid driving license is required. You will need to drive to the various TAP locations.
